Sleep & Wellbeing Check-In: Privacy Statement
Last updated: 20 October 2026
Who we are
The Better Sleep Clinic is a CQC registered private sleep clinic. We have been asked by your employer to run a short sleep check-in ahead of a workplace sleep and wellbeing session.
Your responses are anonymous
The check-in does not ask for your name, email address, job title, team or location, and the form does not require you to sign in. Nothing is recorded that identifies you.
We cannot tell who has responded. Neither can your employer. Because of this, we are not able to follow up with anyone individually about their answers, and we cannot remove an individual response once it has been submitted, because we have no way of finding it.
One request: the final question asks whether there is anything else you would like to mention. Please do not include your name or anything else that could identify you or someone else.
Why we are asking
We use the responses for two things:
To shape the content of the workplace session so it reflects what people are actually experiencing, rather than being generic.
To give your employer an overall picture of sleep across the organisation, so they can decide what support to offer.
We do not use the responses for any other purpose. We do not use them for marketing, and we do not sell or share them with any third party.
What your employer sees
Your employer receives a summary at organisation level only. That means overall figures and themes.
They do not see individual responses. We do not quote free text answers word for word, and we do not report on any group of fewer than ten responses, because small groups can make people identifiable even without names.
Who has access
Responses are held by The Better Sleep Clinic, which is the data controller. Access is limited to Dr David Garley and our Business and Marketing Director. The form is hosted on Microsoft Forms within our own Microsoft 365 environment, which is access controlled and protected in line with our information governance policies.
How long we keep responses
We keep the responses for six months after we have produced the summary report, and then delete them.
Your rights
Because the responses are anonymous and contain no personal data, UK GDPR does not apply to them, and for the same reason we are not able to identify, retrieve, amend or delete an individual response. We handle the data with the same care regardless.
Taking part is voluntary
You do not have to complete the check-in. There is no consequence if you choose not to, and your employer will not know either way.
If something here raises a concern
The questions ask you to think about your sleep, your mood and how you are coping. If completing it brings anything up for you, your employer’s Employee Assistance Programme is confidential and available to you. You can also speak to your GP.
